    1. Acceptance of Terms

    These Terms of Use ("Terms") govern your access to and use of the platforms operated by BuddyAI ("we", "our", or "us"), including:

    • TicketBuddy — AI-powered customer support and ticket management
    • ReviewBuddy — AI-powered Google review management and response generation
    • KeywordBuddy — AI-powered keyword research and SEO analysis tool

    All platforms are accessible via ticketbuddy.ai.

    By creating an account, accepting an invitation to join a workspace, or otherwise using any of our platforms, you agree to be bound by these Terms. If you do not agree, you must not access or use the service.

    2. Description of Services

    2.1 TicketBuddy

    An AI-powered customer support and ticket management platform enabling businesses to:

    • Connect Gmail accounts to automatically convert incoming emails into organised support tickets
    • Manage, assign, and respond to support tickets within a shared team workspace
    • Train an AI knowledge base using uploaded documents, website content, and direct text entries
    • Use AI to automatically tag, prioritise, and suggest responses for incoming tickets
    • Configure custom ticket rules, statuses, priorities, and automated workflows
    • Invite team members (agents) and manage role-based access permissions
    • Compose and send email replies directly from within the platform

    2.2 ReviewBuddy

    An AI-powered Google review management platform enabling businesses to:

    • Connect their Google Business Profile to fetch and monitor customer reviews
    • Generate AI-drafted responses to reviews based on review content and sentiment
    • Review, edit, and publish replies to Google reviews directly from the platform
    • Track review history, response rates, and star rating trends

    2.3 KeywordBuddy

    An AI-powered keyword research and SEO analysis tool enabling businesses to:

    • Research keywords, search volumes, and difficulty scores
    • Generate AI-powered content ideas and keyword clusters
    • Save keyword lists and export research reports
    • Analyse competitor keywords and SEO opportunities

    3. Eligibility & Account Registration

    • You must be at least 16 years old to use any of our platforms
    • You must provide accurate and complete information when creating an account
    • You are responsible for maintaining the confidentiality of your login credentials
    • You are responsible for all activities that occur under your account
    • You must notify us immediately of any unauthorised use of your account
    • Each account is for a single user; credentials must not be shared between multiple people

    4. Google API Services

    Our platforms integrate with Google API Services to provide email and review management functionality. By connecting your Google account, you agree to:

    • Google Terms of Service
    • Google API Services User Data Policy, including the Limited Use requirements
    • TicketBuddy: Granting limited access to your Gmail account (read, send, compose, and modify labels) solely for the purpose of operating the support ticket features
    • ReviewBuddy: Granting access to your Google Business Profile to read reviews and post reply responses on your behalf

    You may revoke Google access at any time from the relevant platform's Settings page or directly via your Google Account permissions.

    5. Subscription & Payment Terms

    5.1 Trial Period

    New accounts are granted a free trial period. During the trial, full access to the platform's features is provided at no charge. Trial duration is displayed in your account dashboard.

    5.2 Paid Subscriptions

    • After the trial period, continued use requires a paid subscription
    • Each platform (TicketBuddy, ReviewBuddy, KeywordBuddy) has its own subscription
    • Subscriptions are billed on a recurring basis (monthly or annually, as selected)
    • Payment is processed by Stripe — we do not store your card details
    • Subscription fees are charged in advance at the start of each billing cycle
    • You can manage or cancel your subscription at any time from the billing portal

    5.3 Cancellation & Refunds

    • Cancellations take effect at the end of the current billing period
    • We do not provide refunds for partial billing periods unless required by applicable law
    • On cancellation, your data is retained for a reasonable period to allow export before deletion

    6. User Responsibilities & Acceptable Use

    You agree to use our platforms only for lawful purposes and in accordance with these Terms. You must not:

    • Use the platform to send spam, unsolicited communications, or harassing messages
    • Upload content that is unlawful, defamatory, obscene, or infringes third-party rights
    • Attempt to gain unauthorised access to other users' accounts or data
    • Reverse-engineer, decompile, or attempt to extract the source code of any of our platforms
    • Use automated tools to scrape, crawl, or extract data from the platform without permission
    • Upload malicious files, viruses, or any code designed to disrupt or harm the service
    • Misuse Google integrations in violation of Google's Terms of Service or API policies
    • Resell or sub-license access to TicketBuddy, ReviewBuddy, or KeywordBuddy without our written consent

    7. Knowledge Base & AI Training Content (TicketBuddy)

    • You retain ownership of all content you upload to the knowledge base (documents, text, website content)
    • By uploading content, you grant TicketBuddy a limited licence to process, store, and use that content to power the AI features within your account
    • You are solely responsible for ensuring you have the right to upload and use any content you add to the knowledge base
    • We do not use your knowledge base content to train general-purpose AI models or share it with other accounts
    • Deleting a knowledge base item removes it from our database and blob storage

    8. Team Members & Invitations

    • Account owners (Admins) may invite team members (Agents) to their workspace
    • Admins are responsible for the actions of agents invited to their account and for managing their access permissions
    • Removing a team member from the workspace immediately revokes their access
    • Each invited agent must agree to these Terms upon account activation

    9. Intellectual Property

    • TicketBuddy, ReviewBuddy, KeywordBuddy, and their original content, features, and functionality are owned by BuddyAI and are protected by intellectual property laws
    • You may not copy, modify, distribute, or create derivative works based on any of our platforms without our prior written consent
    • You retain all rights to your own data (tickets, emails, reviews, keyword lists, knowledge base content)

    10. Privacy

    Your use of our platforms is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using TicketBuddy, ReviewBuddy, or KeywordBuddy, you consent to the collection and use of your information as described in the Privacy Policy.

    11. Disclaimers

    Our platforms are provided on an "as is" and "as available" basis without warranties of any kind, either express or implied, including but not limited to:

    • Warranties of merchantability or fitness for a particular purpose
    • Uninterrupted, error-free, or secure operation of the service
    • Accuracy or completeness of AI-generated responses, ticket tags, review replies, or keyword data
    • Completeness or accuracy of content retrieved via the knowledge base or RAG system

    AI-generated content (support replies, review responses, keyword suggestions) is provided as a suggestion only. You are solely responsible for reviewing and approving any AI-generated content before publishing or sending it.

    12. Limitation of Liability

    To the maximum extent permitted by applicable law, BuddyAI shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:

    • Loss of data, revenue, or profits
    • Interruption of business operations
    • Costs of procuring substitute services
    • Damages arising from your use or inability to use any of our platforms

    Our total liability to you for any claims arising from or related to these Terms or the service shall not exceed the amount you paid to us in the 12 months preceding the claim.

    13. Indemnification

    You agree to indemnify and hold harmless BuddyAI, its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your use of the service, your violation of these Terms, or your violation of any third-party rights, including intellectual property or privacy rights.

    14. Termination

    • You may terminate your account at any time by cancelling your subscription and contacting us to request account deletion
    • We reserve the right to suspend or terminate your account immediately, without notice, if you violate these Terms or engage in behaviour that may harm other users or the integrity of the service
    • Upon termination, your right to use the relevant platform ceases immediately and your data will be deleted in accordance with our data retention policy

    15. Governing Law

    These Terms shall be governed by and construed in accordance with applicable law. Any disputes arising out of or related to these Terms or your use of our platforms shall be subject to the exclusive jurisdiction of the courts in the applicable jurisdiction.

    16. Changes to These Terms

    We may update these Terms from time to time. We will notify you of material changes by updating the "Last updated" date at the top of this page, and where appropriate, by sending a notification to your registered email address. Continued use of TicketBuddy, ReviewBuddy, or KeywordBuddy after changes take effect constitutes acceptance of the revised Terms.
